From Customers (Service Requests):

From Providers (Contractor Applications):

• Business email and phone number
• City of operation
• Uploaded credential documents (business license, trade certification, insurance certificate, WCB clearance letter, criminal record check, A2L compliance certificate)

Automatically Collected:

• Browser type and device information
• IP address
• Pages visited and time spent on site

We collect personal information only for the following purposes:

• To match customers with licensed HVAC technicians in their area
• To verify and vet contractor credentials before approving them on our platform
• To respond to service requests and follow up on bookings

We do not collect information beyond what is reasonably necessary for these purposes.

5. How We Store Your Information

Your information is stored securely using Google Firebase (Firestore and Cloud Storage), which is a cloud database service operated by Google LLC. Firebase data may be stored on servers located in the United States or Canada.

We take reasonable security measures to protect your personal information from unauthorized access, disclosure, or misuse, including:

• Password-protected administrative access
• Encrypted data transmission (HTTPS/SSL)
• Access restricted to authorized personnel only

No method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee absolute security.

6. How Long We Keep Your Information

• Service requests: Retained for up to 2 years for operational and dispute resolution purposes
• Provider applications: Retained for the duration of the provider's relationship with HVAC Pro, plus 1 year after termination
• Declined applications: Deleted within 90 days of the decision

7. Who We Share Your Information With

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

• With HVAC contractors: When matching a customer with a provider, we share the customer's name, phone number, and service address with the assigned technician only
• With service providers: Google Firebase (data storage), Netlify (website hosting) — these parties are bound by their own privacy and data protection policies
• As required by law: If compelled by a court order, government authority, or law enforcement in accordance with applicable Canadian law

8. Your Rights Under PIPEDA

As a Canadian resident, you have the following rights regarding your personal information:

• Right to Access: You may request a copy of the personal information we hold about you
• Right to Correction: You may request that we correct inaccurate or incomplete information
